The short version: we look up public records about a property, we keep only what running your order requires, and we never use your details for advertising.

The free check: the postcode and address you ask about. The property information we look up — council tax bands, past sale prices, floor areas — is already public record (VOA, HM Land Registry, the EPC register). We keep a copy of what we fetch so repeat checks are instant and so we make fewer requests to the government services. Council tax bands were set in 1993 and almost never change, so we keep those indefinitely rather than re-asking for them. Legal basis: our legitimate interest in running the check you asked for. You can ask us to erase any property record — see 'Your rights'.
If you buy: your name and email, the property address, and your order history. Legal basis: performing our contract with you. Card details go directly to Stripe — we never see or store them.
If we file on your behalf: the signed Authority to Act and our correspondence with the VOA about your case. Legal basis: performing our contract with you.
Identity check: before we file, Stripe Identity verifies you are who you say you are. You upload your ID to Stripe, not to us — we never see or store the document or the image. Stripe tells us only whether the check passed, and when. Legal basis: performing our contract with you, and our legitimate interest in not filing a claim in someone else's name.
We keep simple, anonymous statistics of how the site is used — which pages are viewed, roughly how many people visit, and the website you arrived from (for example, google.com). We use this only to understand what is working.
This uses NO cookies and stores nothing on your device, so there is no cookie banner to accept. We do not keep your IP address: each day it is turned into a one-way code that cannot be traced back to you and is different the next day — so you cannot be recognised across days, or across other websites. We cannot identify you from any of this. Legal basis: our legitimate interest in understanding how the site is used.
If you arrive from a link in a letter we sent you, the short code in that link is stored with the visit and with any check you run, so we can tell whether the letters work. It identifies the letter, not you.
No advertising trackers, and no cookies at all — the visit counting above uses none. No selling or sharing of your details for marketing. We do not upload your email to advertising platforms. We email you about your own order and nothing else, unless you have explicitly asked for something more.
Stripe (payments, and identity verification via Stripe Identity), Amazon Web Services (email delivery), and Fly.io (hosting, London region). Each processes data only on our instructions. Public-record lookups go to the government services named above; those requests contain the property details, not your identity.
Public-record property data (bands, sale prices, floor areas): kept indefinitely, because it comes from public registers and rarely changes. It is stored against the property, not against you — we do not record who asked about it. Screening results and order records: 6 years, because tax and accounting law requires us to keep records of sales. Emails about your case: as long as the case file is live, then archived with the order.
You can ask for a copy of your data, ask us to correct or delete it, object to our processing, or ask us to restrict it — email support@terranatural.co.uk and we will respond within one month. If you are unhappy with our answer, you can complain to the Information Commissioner's Office at ico.org.uk — it is free.
